Maintenance Do's and Don'ts

DON'T Stop at a Filter Change. Clean filters are only half the battle! Your heating, cooling and refrigeration equipment is complex. In order to operate at its most efficient, it needs air flow, proper refrigerant charge, correct electrical voltage & current, fully-functional components and controllers and more… If any or all of these parts are not up to par, you will not get the performance or the longevity you want out of your equipment, no matter how many times you change the filters.

DON'T settle for a cookie-cutter maintenance agreement. Different operating conditions and demand loads make for different maintenance needs. A bank office has very different maintenance needs than a fish processing plant. Always make sure that your maintenance agreement is tailored to your maintenance needs.

DO plan for maintenance at least twice per year.In order to ensure proper heating and cooling, maintenance should be scheduled to those systems at the beginning of both the heating and cooling seasons.

DO have HVACR professionals maintain your equipment. Although you can have your regular maintenance personnel change filters as needed, you should retain the services of an HVACR professional who is familiar with the complex operations and components of your HVAC and refrigeration systems to do your comprehensive preventative maintenance. It will save you money in the long term.

Why Maintain?

  1. Reduces service calls. Spend a little, to save a lot. Testing the equipment during maintenance can often catch equipment problems before they become problems for you.
  2. Improves energy efficiency. A dirty, clogged machine has to run harder and longer to create the same amount of heat or cold air which uses more energy.
  3. Extends the life of equipment. If a machine is constantly dirty and clogged, it constantly runs harder and longer. This can cause both long and short-term damage to unit components. The typical lifespan of HVAC equipment is 15-25 years. With quality equipment and good maintenance practices, it can be even longer. We have customers with functional equipment over 40 years old!

Benefits of a Maintenance Agreement

Let's face it: new HVAC and refrigeration equipment is expensive. But, the typical lifespan of well-made, well-maintained heating and cooling equipment is about 15-25 years.

A smart investor wants to make sure that the equipment is going to last a long time with as few major repairs as possible. The best way to do this: consistent and thorough maintenance.

Many of our customers find the convenience and predictable cost of a maintenance agreement preferable to time and materials maintenance. There are several advantages of a maintenance agreement:

Hassle-free automatic scheduling. We schedule your maintenance automatically at the right time for your business and your equipment. You don't have to worry about forgetting to call and then trying to get someone on that really hot day. This option is available without a Maintenance Agreement as well.

Our Sample Maintenance Agreement:

A typical maintenance agreement should include the following:

1. A minimum of two visits per year. Once to evaluate your heating equipment and once for your cooling equipment. More frequent visits may be necessary depending on how your equipment is used, or if your equipment is in a particularly "dirty" environment.
2. Check all electrical connections, measure voltage and current. Faulty electrical connections can cause unsafe operation of your system. Incorrect voltage and/or current can cause overload and equipment burn-out.
3. Lubricate all moving parts. Lubrication reduces friction. Friction can cause wear and reduce energy efficiency.
4. Inspect and clear the condensate drain. A plugged drain can cause water damage and potentially create an environment conducive to mold growth, effecting indoor humidity levels and air quality.
5. Diagnostic Start and Test. One of the most important checks, this diagnostic test helps to reveal any irregularities in system function, BEFORE they result in system downtime, overtime emergency service, loss of product, etc.
6. Check thermostat settings. To ensure the proper control of the cooling and heating system.
7. Inspect, clean or change air filters.A dirty filter can increase energy costs and damage your equipment, leading to early failure.

For Cooling Equipment:

1. Clean evaporator and condenser air conditioning coils. Dirty coils reduce air flow, causing the system to run harder and longer, increasing energy costs and reducing the life of the equipment.
2. Check your refrigerant level. Too much or too little refrigerant will make your system less efficient increasing energy costs and reducing the life of the equipment. If low refrigerant levels are discovered, a leak-check will be performed.
3. Clean and adjust blower components. Airflow problems can reduce your system's efficiency by up to 15 percent!

For Heating Equipment:

1. Check and clean all gas or oil connections, gas pressure, burner combustion and heat exchanger. Improperly operating gas or oil connections and/or a dirty burner or cracked heat exchanger are fire hazards and can contribute to health problems. Both cause the equipment to operate less efficiently.
2. Inspect and change, as necessary, all components.
3. Change oil filters and clean filter assembly.
4. Check for leaks on boilers.
